I find their website is the "organizer" in your case, and is way better than other banks I've seen. Just login to your account once a month (or more frequently) and it will clearly show upcoming expiries in different brown coloured text, and adds a "manage maturity instructions" click on arrow instead of the usual arrow for more information beside each GIC. I currently have 3 expiring in less than 30 days, and if I recall, my first e-mail notices of upcoming expiries arrived almost 30 days beforehand.

There are some hidden gems in the Oaken Online Portal.

By default, the Account Summary is sorted by Account Name.

The GIC Section has 3 Headings: "Account Name", "Maturity Date" and "Fair Market Value". When you click on one of the Headings, you change the sort order and little arrows appear to indicate the order. Every time you click you reverse the order.

The Savings Accounts Section is also sortable although you're not likely to have 90 of those ...

Also, there is a "Customize Accounts" option under "Profile & Settings". There you can give accounts Nicknames. I always nickname our GIC's to better describe them. For example ...

That's what can happen: More worthy loans approved than expected. Also, lower GIC deposits sold than expected.

Lenders don't have huge pools of idle funds to lend. Costly to be paying GIC interest on large amounts of funds parked in low yielding treasury bills.

GIC funds also have limited shelf life. In six months, that unlent money from a 2-year GIC only has 1½ years left before the GIC matures.

Lenders try to match the inflow of GIC funds with the outflow for approved loans.

Yes - DUCA, Habib and Equity CU will all pull funds from your chequing acct to purchase GICs - so if your GIC broker is not in the same city it makes things easy.
I think it is best to deal with a GIC broker in your own city if possible rather than mailing a cheque to the broker when u are depending on Canada Post which is not the most reliable.

I'm no expert in bank management but I'm guessing that even though they're managing large pool of money, it does not mean that the pool of money is readily available to do what they need to do (ie loan money to business and/or individuals), nor should it be either. It is after all how banks do their profits.
